How Simplified Solutions, the company behind SIMPLIChargeback, collects, uses and protects personal data.
Last updated: 15 October 2026
1. Who we are
SIMPLIChargeback is a solution brought to you by Simplified Solutions. For personal data collected through this website, Simplified Solutions is the data controller. This policy explains what we collect, why, and the choices you have.
2. What we collect
We collect only what we need:
- Contact details and message content that you send through our forms or by email, such as your name, work email, company, role and dispute volumes
- Technical and usage data, such as browser type, device, pages viewed and approximate location, where you agree to optional cookies
- Records of our communications with you, and your cookie choices
3. How we use it
We use personal data to respond to your enquiries and arrange demos, to provide and improve our website and services, to keep our systems secure, to send relevant updates where you have asked for them or the law allows, and to meet legal obligations.
4. Our lawful bases
We rely on legitimate interests to run and secure our business and to respond to business enquiries, on consent for optional cookies and marketing where required, on contract where we need data to provide a service you have requested, and on legal obligation where the law requires us to keep or share data.
5. Cookies
Essential cookies and similar storage make the website work and remember your cookie choice. Optional cookies are used only if you select Agree on our cookie banner. If you select Disagree, we use essential cookies only. You can change your choice at any time using Cookie settings in the footer, and you can also manage cookies in your browser.
6. Data processed through the platform
When customers use the SIMPLIChargeback platform, they decide what dispute and transaction data is processed. In that case we act as a processor on the customer's instructions under a separate agreement. The platform is designed to use obfuscated card numbers, so agents work with masked account numbers rather than full ones.
7. Sharing your data
We do not sell personal data. We share it only with service providers who help us run the website and our business, such as hosting, email and analytics providers, with professional advisers, with other companies in our group where needed, and with authorities where the law requires it. Providers act under contract and on our instructions.
8. International transfers
Some providers may process data outside your country. Where this happens, we use appropriate safeguards, such as approved contractual clauses, to protect your data.
9. How long we keep data
We keep personal data only as long as needed for the purposes above. Enquiry records are normally kept for as long as the business relationship or discussion continues, plus a reasonable period afterwards, unless the law requires longer.
10. Security
We use technical and organisational measures to protect personal data, including access controls and encryption in transit. No system is completely secure, so please avoid sending sensitive information, such as full card numbers, through our website forms.
11. Your rights
Depending on where you live, you may have the right to access your data, correct it, delete it, restrict or object to its use, receive a copy in a portable format and withdraw consent at any time. You also have the right to complain to your data protection authority. To use your rights, contact us through our contact page.
12. Children
The website is intended for business users and is not directed at children.
13. Changes to this policy
We may update this policy from time to time. The date at the top shows the latest version.
