Merchant FAQs
Ten questions merchants ask us
Straight answers on how it works, what stays under your control and what it costs.
How does SIMPLIChargeback decide whether to fight or accept a dispute?
It calculates the expected net recovery for every case, weighing the likelihood of winning, the value at stake, the evidence available and the cost of fighting. Cases that clear your confidence thresholds are prepared automatically. Weaker or ambiguous cases are routed to a person, or recommended for acceptance or refund.
What evidence does it collect, and where from?
It retrieves authorised records from your payment, order, fulfilment and CRM systems, such as authorisation data, order history, proof of delivery or service and customer communications. Each item is scored for completeness and quality, and the package is built to match the Visa or Mastercard reason code, because each code expects different proof.
Can the AI invent evidence or make unsupported claims?
No. Every statement in a draft cites a source record, and where evidence is missing the draft says so rather than filling the gap. A contradiction check flags conflicting evidence, and we track the unsupported AI claim rate as a pilot KPI with a target of zero.
Which cases does my team still review?
You set the thresholds. Low risk, well evidenced claims can be automated, while high value, ambiguous, novel, service failure, arbitration and regulatory sensitive cases wait in a review queue for approval. Nothing is submitted unless it passes your approval rules.
How long does integration take, and do we need to replace any tools?
Nothing is replaced. The platform wraps around your existing systems using secure APIs and file connectors. Our target is 2 to 3 days to integrate, depending on how available and clean your data is. This is a management target that we confirm with you during the pilot.
Which payment providers and platforms does it connect to?
The core product ingests disputes from multiple PSPs, acquirers and gateways into one canonical dispute model, with connectors for Shopify and for other payment gateway and ecommerce marketplace systems. Tell us your stack and we will confirm connector coverage during your diagnostic.
How does it help me meet scheme deadlines, including Visa's VAMP?
A scheme rule and deadline engine tracks the response window for every dispute across all of your processors and escalates cases at risk of missing it. VAMP combines fraud reports and disputes into a single monthly ratio, and in most regions the merchant excessive threshold tightened to 1.5% from April 2026. SIMPLIChargeback helps you respond on time and see outcomes in one place, while fraud controls and prevention alerts reduce the volume that feeds the ratio. Thresholds vary by region and programme, so confirm your current limits with your acquirer.
How is cardholder data protected?
Card numbers are obfuscated, so agents work with masked PANs rather than full account numbers. Each agent is permissioned to read only what you allow, and every input, source, model version and approval is written to an immutable audit ledger. You can also bring a language model that your security team has approved.
How is SIMPLIChargeback priced?
Pricing combines a platform subscription, a per dispute intake fee and an optional capped success fee for managed recovery. Proposed tiers start at €20 per dispute with a 20% success fee for pilots of 100 disputes, and €15 per dispute with 18% at 500 disputes, with custom enterprise pricing. A paid diagnostic with agreed baseline metrics comes first, and final pricing follows it.
How will we know it is working?
We agree pilot KPIs up front: analyst minutes per case, evidence completeness at first submission, on time submission rate, recovery and net recovery rate, false automation rate, cost per case and customer contact reduction. We baseline them on your historical disputes and report against them throughout the pilot.
